Document Hub

What is the Document Hub?

The Document Hub is a per-AI-system file manager for governance evidence. It provides a central place to store, organize, and retrieve documents that support an AI system’s assessments — design specifications, data cards, model cards, audit reports, vendor documentation, or any other artefact relevant to the system’s governance record.

The Document Hub is available at the AI system level and at the functional model level (for sub-records within an AI system).


File visibility

Each uploaded file is assigned a visibility:

Visibility Who can access
Private Only members of the AI system
Public Anyone in the organization with access to the platform

Visibility is set at upload time and can inform how evidence is shared with reviewers, auditors, or external stakeholders.


Supported file types

The Document Hub accepts common document and data formats. Files are stored securely and served via pre-signed URLs that expire after a short window — no persistent public links are generated.


Using the Document Hub

To upload a file:

  1. Navigate to AI System → Document Hub
  2. Click Upload
  3. Select one or more files
  4. Choose Private or Public visibility
  5. Click Upload

To open a file: Click the file name. A time-limited secure URL is generated and the file opens in a new browser tab.

To delete a file: Click the delete icon on the file row. Deletion is permanent and requires confirmation.

To search: Use the search bar to filter files by name within the current AI system’s hub.


Importing from Confluence

When your organization has an active Confluence connection, governance documentation that already lives in your wiki can be pulled into the Document Hub without downloading and re-uploading it.

To import pages:

  1. Navigate to AI System → Document Hub
  2. Click Import from Confluence
  3. Pick a space, or search pages by title — recently updated pages are listed by default
  4. Select the pages to import (up to 20 per import)
  5. Optionally tick Include attachments to bring across the files attached to each page
  6. Choose Private or Public visibility
  7. Click Import

Each selected page is exported as a self-contained document and stored in the hub alongside browser uploads; attachments are stored as separate files. The import summary reports how many items succeeded and how many failed, so a single unreadable page does not abort the rest of the batch.

How it works:

  • Pages are fetched server-side using the organization’s Confluence credentials — the browser never talks to Confluence and never sees the API token.
  • The integration is read-only: Asenion never writes to or modifies your Confluence content.
  • Imported page exports are stored as download-only files rather than being rendered inline, so untrusted wiki markup cannot execute in the browser.
  • Users only see the spaces and pages the connected Atlassian account is permitted to read.

If no Confluence connection is configured, the import option is not shown.


Attaching documents to assessment controls

Files uploaded to the Document Hub can also be attached directly to individual controls during assessment. When answering a DOC_UPLOAD control, a file picker opens the Document Hub so the uploaded file becomes the control’s evidence. This links the document to the specific obligation it evidences.


Access

Any member of the AI system can upload, view, and download files. Deleting files requires the same project membership. Org Admins can access the Document Hub of any AI system in their organization.
