Document Hub

What is the Document Hub?

The Document Hub is a per-AI-system file manager for governance evidence. It provides a central place to store, organize, and retrieve documents that support an AI system’s assessments — design specifications, data cards, model cards, audit reports, vendor documentation, or any other artefact relevant to the system’s governance record.

The Document Hub is available at the AI system level and at the functional model level (for sub-records within an AI system).

File visibility

Each uploaded file is assigned a visibility:

Visibility Who can access
Private Only members of the AI system
Public Anyone in the organization with access to the platform

Visibility is set at upload time and can inform how evidence is shared with reviewers, auditors, or external stakeholders.

Supported file types

The Document Hub accepts common document and data formats. Files are stored securely and served via pre-signed URLs that expire after a short window — no persistent public links are generated.

Using the Document Hub

To upload a file:

  1. Navigate to AI System → Document Hub
  2. Click Upload
  3. Select one or more files
  4. Choose Private or Public visibility
  5. Click Upload

To open a file: Click the file name. A time-limited secure URL is generated and the file opens in a new browser tab.

To delete a file: Click the delete icon on the file row. Deletion is permanent and requires confirmation.

To search: Use the search bar to filter files by name within the current AI system’s hub.

Attaching documents to assessment controls

Files uploaded to the Document Hub can also be attached directly to individual controls during assessment. When answering a DOC_UPLOAD control, a file picker opens the Document Hub so the uploaded file becomes the control’s evidence. This links the document to the specific obligation it evidences.

Access

Any member of the AI system can upload, view, and download files. Deleting files requires the same project membership. Org Admins can access the Document Hub of any AI system in their organization.

  • Control — DOC_UPLOAD answer type that references Document Hub files
  • Workflow — assessments where document evidence is reviewed
