User Roles
Asenion uses two distinct role dimensions: platform roles (what a user can do across the organization) and project roles (what a user can do within a specific AI system record). Both dimensions apply simultaneously.
Platform Roles
Platform roles are assigned when a user joins an organization. They govern access to organization-level configuration and dashboards.
| Role | Access |
|---|---|
| Member | Access to projects they are explicitly added to; can run assessments and submit evidence. |
| Compliance Manager | Manages compliance assessments and policy assignments across the organization. |
| Governance Manager | Manages governance policy library and control bundles. |
| Assurance Manager | Manages assurance runs (LLM testing, bias audits) and views assurance results. |
| Audit Manager | Reviews and closes audit assignments; accesses audit status across projects. |
| Org Admin | Full organization administration: invites members, manages roles, imports policies and lifecycle configurations, archives records. |
| System Admin | Platform-level administration across all organizations. Can edit the role-capability matrix and reset role defaults. |
Note: Trial User and Demo roles have scoped read-only access used for evaluation accounts.
Project Roles
Project roles are assigned when a user is added to a specific AI system record. They govern what that person can do within that record.
| Role | Access |
|---|---|
| Owner | Created the AI system record; full control including member management and archiving. |
| Contributor | Can answer assessment controls, attach evidence, and submit assessments for review. |
| Reviewer | Reviews submitted assessments and provides structured feedback before approval. |
| Approver | Approves or rejects reviewed assessments; approval advances the assessment status. |
| Viewer | Read-only access to the project, assessments, and reports. |
| Auditor | Conducts independent audits against completed assessments; can set audit status (Under Audit / Audited / Audit Rejected). |
Role Assignment
Within a project: The project Owner invites team members and assigns their project role from the Members panel.
Across the organization: Org Admins assign platform roles via Organization Settings → Members.
Global project role slots: Org Admins can pre-assign organization-wide reviewer and approver slots (Compliance, Governance, Assurance, Audit) so that routing is automatic when a new AI system is created. See Global Project Roles for details.
Per-user capability overrides: Org Admins can grant or revoke individual capabilities for a specific member, independent of their base role. This is managed from the member permissions drawer in Organization Settings.
How to manage roles
- To invite a new member to an AI system: AI System → Members → Invite member
- To change a member’s project role: AI System → Members → Edit
- To invite a new organization member: Organization Settings → Members → Invite
